Ad Acta Prijevodi d.o.o., as the controller of automated and non-automated processing of personal data, complies with REGULATION (EU) 2016/679 OF THE EUROPEAN PARLIAMENT AND OF THE COUNCIL of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter: “General Data Protection Regulation”) dedicated to lawful and transparent protection of personal data during their processing. In order to provide you with information about your rights regarding the protection of personal data, we present the following privacy policy:

1. General concepts according to the General Data Protection Regulation:

  1. Personal data means any information relating to an identified or identifiable individual;
  2. Data subject means an individual whose identity is identified or can be identified directly or indirectly, especially by reference to an identifier such as name, identification number, location data, online identifier, or one or more factors specific to the physical, physiological, genetic, mental, economic, cultural, or social identity of that individual;
  3. Processing of personal data means any operation or set of operations which is performed on personal data or on sets of personal data, whether by automated means or not, such as collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction;
  4. Ad Acta Prijevodi d.o.o. as the data controller means the legal entity that determines the purposes and means of the processing of personal data.

2. Purpose of processing and use of personal data

2.1. Non-automated processing of personal data

In order to prepare an offer or provide one of the services that are part of our business activities, we will request only those data which are necessary for the offer to be prepared or the service to be provided. These data, when requesting written certified and uncertified translations, include your name, surname, address, personal identification number, language or languages into which you want a specific document translated. The data, when requesting oral translations, include your name, surname, address, personal identification number, and the language from and into which the oral translation is required.

In order to comply with regulations in the fields of mandatory law, accounting, tax law, and especially regulations governing the work of court interpreters, we need to be able to unambiguously identify the translation client for the purpose of preparing an offer and, upon acceptance of the offer, issuing the invoice upon completion of the translation. Every invoice we issue must contain the name, surname, address and personal identification number.

Regarding the submission of documents for the purpose of preparing an offer, before we prepare an offer in your name, we need to determine the number of pages the document contains, the complexity of the text, whether it is a specialized text, and ultimately, whether the document you have sent us is clear enough for translation. We will provide you with an offer for the translation of your document very promptly.

Regardless of whether you accept our offer or not, in accordance with Article 130. and Article 131. of the Courts Act, as court interpreters, we are obliged to keep confidential the content of all documents you have submitted to us or any personal data you have provided or shared with us in any other way.

We kindly ask for your understanding that we cannot prepare an offer without the necessary data mentioned above. If you do not provide us with all the necessary data to prepare an offer, Ad Acta Prijevodi is not obliged to prepare an offer.

2.2. Automated processing of personal data and cookies

By accessing the website of Ad Acta Prijevodi d.o.o., certain data about the data subject that do not fall into the category of personal data are automatically processed. These are data that record statistically relevant information for the data controller that is not of a personal nature. These data are used solely for the purpose of analysis and improvement of services and do not allow for the identification of individuals. Your privacy and security are of the utmost importance to us, and all measures are taken to ensure compliance with your rights and the protection of your data.

3. Lawfulness of personal data processing and consent

Ad Acta Prijevodi d.o.o. may process your personal data as a data subject pursuant to Article 6 6. (1) of the General Data Protection Regulation if the processing:

  1. is necessary for taking steps at the request of the data subject prior to entering into a contract (preparing an offer) or for the performance of a contract in which the data subject is a party;
  2. is necessary for compliance with legal obligations of Ad Acta Prijevodi d.o.o. as the data controller, such as mandatory legal obligations, accounting obligations, tax law obligations, or for the legal duty of data disclosure;
  3. is necessary to protect vital interests of the data subject or another natural person, such as the vital interests of the data subject in cases of natural disasters or disasters caused by human action;
  4. is necessary for the purposes of legitimate interests pursued by Ad Acta Prijevodi d.o.o. as the data controller or by a third party, such as managing business operations and relationships with customers and business partners;
  5. is based on the consent given by the data subject regarding the processing of their personal data for one or more specific purposes.

The data subject who has given consent based on item 3(e) has the right to withdraw their consent for the processing of their personal data at any time. Upon withdrawal of consent, Ad Acta Prijevodi d.o.o. will cease processing your personal data as the data subject, unless the processing of personal data is also based on one of the other lawful bases for processing.

4. Access to your personal data and their correction

As a data subject, you have the right to access your personal data processed by Ad Acta Prijevodi d.o.o. In this regard, you have the right to request Ad Acta Prijevodi d.o.o. to inform you whether your personal data are being processed, and you have the right to request access to or a copy of the personal data being processed.

Additionally, as a data subject, you have the right to request the correction of your inaccurate personal data or the completion of such data.

5. Data erasure and processing restriction

As a data subject, you have the right to request the erasure of your personal data or the restriction of processing of personal data processed by Ad Acta Prijevodi d.o.o.

You have the right to request erasure especially if you, as a data subject, have withdrawn your consent for the processing of your personal data and your personal data are processed solely based on your consent given to the data controller, if your personal data are no longer necessary for the purposes for which they were processed, or if they must be erased in order to comply with applicable legal regulations.

As a data subject, you have the right to request restriction of processing of your personal data processed by Ad Acta Prijevodi d.o.o. if one of the following applies:

  1. the accuracy of the personal data is contested by the data subject, for a period enabling the data controller to verify the accuracy of the personal data;
  2. the processing is unlawful, and the data subject opposes the erasure of the personal data and requests the restriction of their use instead;
  3. the data controller no longer needs the personal data for the purposes of processing, but the data subject requires them for the establishment, exercise, or defence of legal claims;
  4. the data subject has objected to processing of personal data by Ad Acta Prijevodi d.o.o. based on point 3(d) awaiting the verification whether the legitimate interests of the data controller override those of the data subject.

The data subject may address all questions related to the processing of personal data to the data controller at any time, especially regarding access to personal data, their correction, erasure, restriction, as well as filing objections, via email at:

Ad acta prijevodi d.o.o. as the data controller is obliged to process your requests and objections within one month of receipt. In case of increased workload of incoming inquiries, requests, and objections from data subjects, the data controller reserves the right to extend the mentioned deadline by an additional two months, and you will be informed of the reasons for the extension.

If your request is manifestly unfounded or excessive, including in the case of frequent repetition of requests, Ad acta prijevodi d.o.o. reserves the right to charge a reasonable fee based on the actual administrative costs incurred or to refuse to act on the request.

7. Complaint to the supervisory authority

The data subject has the right to lodge a complaint regarding our processing of personal data with the Croatian Personal Data Protection Agency as the supervisory authority at any time.

8. Measures for the protection and security of personal data

Ad acta prijevodi d.o.o. as the data controller makes every reasonable effort to protect personal data from potential cyber-attacks, unauthorized access, disclosure, or alteration of personal data, as well as their loss in electronic form or destruction in physical form. Despite our efforts and security measures, we advise data subjects that the security of personal data primarily depends on the limitations of current security measures in information and communication technology.
